How to Issue an Invoice in Turkey? e-Fatura and e-Arşiv Step-by-Step Guide
The answer to how to issue an invoice depends on your taxpayer status and on who the buyer is. In this guide we explain, in plain language, the difference between e-Fatura and e-Arşiv, how to issue an invoice step by step, the mandatory fields and automated invoicing for e-commerce sellers.
Summary: Today most businesses in Turkey issue an e-Fatura or an e-Arşiv invoice. The invoice is issued either on the GİB e-Belge portal (free, manual) or through a private integrator (Logo, Mikro, Uyumsoft, Paraşüt, İzibiz…). If the buyer is a business (VKN) you issue an e-Fatura; if the buyer is an individual (TCKN) you issue an e-Arşiv. If you sell through e-commerce/marketplaces, using automation instead of issuing each order one by one removes the time burden and the risk of penalties.
What does issuing an invoice mean, and who is obliged to do it?
An invoice is the legal document of a sale of goods or services. Every business that is a taxpayer is obliged to invoice its sales. Today e-Fatura and e-Arşiv are mandatory for taxpayers exceeding certain turnover thresholds/conditions; almost all e-commerce and marketplace sellers fall within this scope.
e-Fatura, e-Arşiv or paper?
| e-Fatura | e-Arşiv invoice | Paper invoice | |
|---|---|---|---|
| For whom? | Business buyer with a VKN, registered for e-Fatura | Consumer with a TCKN / non-registered buyer | Small taxpayers outside the e-Belge scope |
| Transmission | Via the GİB system | E-mail/SMS + GİB reporting | By hand / pre-printed |
| In e-commerce | Minority | Majority | Almost none |
The buyer determines the correct type: an e-Fatura for a business purchasing with a tax number, an e-Arşiv for an individual with a Turkish ID number. Issuing the wrong type means correcting it later; automation makes this choice itself from the VKN/TCKN.
Step by step: how do you issue an invoice?
Route 1 — GİB e-Belge portal (free, manual)
- Log in to the GİB e-Belge portal.
- New document → select e-Fatura or e-Arşiv.
- Enter the buyer details (trade name/name, VKN/TCKN, address).
- Add the goods/service lines: type, quantity, unit price, KDV rate.
- Check the amounts, confirm the document, then sign and send it.
Route 2 — Private integrator (paid, fast)
Integrators such as Logo, Mikro, Uyumsoft, Paraşüt and İzibiz speed up invoicing and take over serial/sequence tracking and the transfer to accounting. For high-volume businesses this is the practical route with a low margin of error.
Mandatory information on an invoice
- Issue date and serial/sequence number
- Seller's name/trade name, tax office and VKN
- Buyer's details (VKN/TCKN, trade name/name)
- Type, quantity and unit price of the goods/service
- Amount, KDV rate and amount, grand total
KDV and the invoicing deadline
Depending on the category, the KDV rate can be 20% / 10% / 1%; the correct rate must be applied. The general rule for the deadline: the invoice is issued within 7 days of the delivery of goods or the performance of the service. In e-commerce, the e-Arşiv invoice is issued immediately with the sale; on marketplaces it is expected to be uploaded shortly after the shipping process starts (e.g. within 24 hours).
Don't issue e-commerce invoices by hand
Let invoices for your Trendyol, Hepsiburada and N11 orders be issued automatically: the right type, the right KDV, on time — from a single panel.
If you are an e-commerce/marketplace seller: automated invoicing
For a marketplace seller receiving dozens of orders a day, issuing every invoice by hand is not sustainable, and delays lower the seller score. Zunapro connects your marketplace accounts and your e-Fatura integrator, and:
- selects the correct invoice type the moment the order arrives,
- calculates KDV and transmits the invoice to GİB,
- uploads the invoice to the marketplace automatically,
- handles the cancellation/return process for returns.
